Enquiry privacy notice

When you send us an enquiry.

This explains what happens to the details you send through the form on this site. It is separate from the privacy notice a studio gives its own booking customers.

Who we are

Bright Loop Media, a UK web and AI studio, is the controller of the details you send us through this form. Mintbook is our product. You can reach us at hello@brightloopmedia.co.uk.

What we collect

Only what you type into the form: your name, your business name and trade, your email address, and any message you add. We also record a rough source label (for example whether you arrived from a search or a social link) so we know how people find us.

Why we can use it

Our lawful basis is legitimate interest: you have asked us about our service, and we use your details to reply and to build the free demo you requested. We do not use them for unrelated marketing.

Who helps us handle it

Your enquiry passes through the services we use to receive, sort and reply to it. Each acts on our behalf:

  • Resend, to deliver the enquiry to our inbox by email.
  • A Bright Loop self-hosted n8n workflow, which routes the enquiry.
  • Anthropic (Claude), to help us draft a reply and sort enquiries.
  • Google Sheets, as the log of enquiries we have received.
  • Telegram, for an internal alert so we do not miss you.
  • Vercel, which hosts this website.
  • Neon, which hosts our database.

We do not sell your details or pass them to anyone for their own marketing.

How long we keep it

We keep your enquiry for as long as we are in contact about working together, and for a reasonable period after in case you come back to us. Ask us to delete it sooner and we will.

Your rights

You can ask to see what we hold, correct it, or have it deleted. Email hello@brightloopmedia.co.uk and we will remove your enquiry from our inbox, our workflow log and our records. You can also complain to the Information Commissioner's Office at ico.org.uk.
